Gross margin = (Revenue - COGS) ÷ Revenue. It measures profitability from core operations before overhead. Net margin = (Revenue - ALL Costs including operating expenses, interest, and taxes) ÷ Revenue. It represents the final bottom-line profit. If gross margin is 40% and net margin is 5%, it means operating expenses and other costs consume 35% of revenue — this signals inefficiency in overhead management that needs attention.
Minimum Selling Price = Cost ÷ (1 - Target Margin ÷ 100). For a product costing RM 80 and a target 30% margin: RM 80 ÷ (1 - 0.30) = RM 80 ÷ 0.70 = RM 114.29. At this price, gross profit = RM 34.29, and margin = 30%. This formula works backward from the desired margin to the required selling price — use this when setting prices for new products or evaluating supplier cost increases.
A healthy net margin varies by industry: 10-15% is typical for well-run SMEs. Retail: 2-5% net (high volume, high inventory costs). Professional services: 15-30% (low COGS, high labor). Software/SaaS: 20-40%+ (scalable, low marginal costs). F&B: 10-20% net after all costs. If your net margin is below 5%, the business is vulnerable to even small revenue or cost fluctuations.
Four levers: (1) Increase prices — if demand is inelastic, even a small price increase flowes directly to margin. (2) Reduce COGS — negotiate supplier prices, improve efficiency, reduce waste. (3) Reduce operating expenses — automate processes, renegotiate contracts, outsource non-core functions. (4) Improve product mix — sell more high-margin products and fewer low-margin ones. The most impactful lever varies by business, but price increases usually have the fastest and largest effect on margin.
Contribution margin = (Revenue - Variable Costs) ÷ Revenue. It excludes fixed costs and shows how much each sale contributes toward covering fixed costs. Use contribution margin for short-term pricing decisions (e.g., should you accept an order below full cost during a slow period?). If the contribution margin is positive, the sale helps cover fixed costs. For long-term pricing, you need full-cost margin (which includes fixed cost allocation).
Low margins are common in high-volume, price-competitive industries (groceries, commodities, wholesale). The business can still be healthy if sales volume is high and fixed costs are covered. However, low-margin businesses are riskier — a 5% cost increase can wipe out profit entirely. Strategies to improve low margins: differentiate your product (reduce price competition), add premium service tiers, find operational efficiencies, or increase sales volume to dilute fixed costs across more units.
Find industry-specific data from trade associations, government statistics (DOSM in Malaysia), industry reports, or financial databases. Compare like-for-like: your gross margin vs industry gross margin, not vs net margin. Consider your business size — smaller businesses usually have lower margins due to lack of scale. Factor in location and market position. If you are significantly below benchmark, investigate whether it is a pricing problem, cost problem, or business model issue.
Margin and turnover (inventory turnover or asset turnover) have an inverse relationship. High-margin businesses (luxury goods, specialized services) typically have low turnover. Low-margin businesses (supermarkets, discount retailers) rely on very high turnover to generate returns. Your Return on Assets (ROA) = Net Margin × Asset Turnover. A 5% margin business turning assets over 10 times per year achieves a 50% ROA — equivalent to a 50% margin business turning assets once per year.
A discount reduces revenue while costs remain the same, which disproportionately affects margin. A 10% price discount on a product with 30% gross margin reduces the margin to 22.2% — a 26% decline in profit. For a product with 10% net margin, a 10% discount eliminates all profit entirely. Before offering discounts, calculate the break-even sales volume increase needed to maintain total profit.
EBITDA margin = (Earnings Before Interest, Taxes, Depreciation, and Amortization) ÷ Revenue. It measures operational efficiency by excluding non-cash expenses (depreciation), financing decisions (interest), and tax jurisdiction effects. Investors use EBITDA margin to compare companies across different capital structures and tax situations. A consistently improving EBITDA margin signals operational efficiency gains. A declining EBITDA margin despite revenue growth may signal growing inefficiency.

Profit margin is always calculated as a percentage of REVENUE (selling price), not of cost. Gross margin measures profitability after deducting only the direct costs of producing or purchasing the product. Net margin deducts ALL costs — COGS, operating expenses, interest, and taxes. A business with 60% gross margin but high operating costs might have only 10% net margin, while a business with 30% gross margin with lean operations could have 15% net margin.
Formula: Gross Margin = (Revenue - COGS) ÷ Revenue × 100; Net Margin = (Revenue - All Costs) ÷ Revenue × 100
Your business has annual revenue of RM 500,000. Your COGS (materials, direct labor) is RM 300,000. Gross profit = RM 200,000, and gross margin = RM 200,000 ÷ RM 500,000 = 40%. Operating expenses (rent, salaries, marketing, utilities) total RM 120,000. Operating profit = RM 200,000 - RM 120,000 = RM 80,000. Interest and taxes = RM 20,000. Net profit = RM 60,000, and net margin = RM 60,000 ÷ RM 500,000 = 12%. This means for every RM 1 of sales, you keep 12 sen as net profit.
In Malaysia, typical gross margins by industry: retail 20-40%, F&B 60-80% (reflecting high markups on ingredients), manufacturing 15-35%, services 40-70%. Net margins are typically 5-15% for most SMEs. When comparing margins internationally, note that tax structures, labor costs, and regulatory compliance costs vary significantly.
